Who we are
KAM Freight Services Ltd (“KAM Freight”, “we”, “us”) is a UK freight forwarder based at 1 Swallowfield Way, Hayes, Middlesex, UB3 1DQ. Company number 08178068(registered in England & Wales). We are the data controller for personal data collected through this website and during the provision of freight services.

What data we collect
- Enquiry & quote forms — name, company, email, phone, shipment details you choose to share.
- Shipment records — consignor / consignee details, cargo description, commercial invoices and customs paperwork, retained as required by UK customs law.
- Website analytics — only if you opt in via the cookie banner: aggregated Google Analytics data (pages viewed, approximate location, device type). We do not run marketing or advertising cookies.
- Server logs — IP address, user-agent and request path, kept briefly for security monitoring.
Lawful basis and purpose
- Contract / pre-contract — to answer quote requests and perform the freight forwarding services you book.
- Legal obligation — customs declarations, HMRC record-keeping, anti-money-laundering checks where required.
- Legitimate interest — responding to general enquiries, securing the website, preventing fraud.
- Consent — optional analytics cookies (you can withdraw at any time via the cookie banner).
Who we share data with
We share personal data only with parties necessary to complete your shipment — for example airlines, shipping lines, overseas agents, HMRC, and destination-country customs authorities. We use UK and EU based service providers for email (Intermedia Unite) and website infrastructure. We never sell your data.
International transfers
Freight forwarding inherently involves moving shipment data to overseas agents in the destination country (e.g. Nigeria, UAE, Kenya). Where we transfer personal data outside the UK we rely on the UK Government's adequacy decisions, the UK International Data Transfer Agreement, or contractual safeguards.
How long we keep it
- Enquiry-form emails: up to 24 months.
- Shipment & customs records: 6 years (UK HMRC minimum).
- Server logs: up to 30 days.

Your rights
You have the right to access, correct, erase, restrict or object to processing of your personal data, the right to data portability, and the right to withdraw consent for any processing based on consent. To exercise these rights, email [email protected].
You can complain to the UK Information Commissioner's Office at ico.org.uk if you believe we have handled your data unlawfully.
Security
Our website is served over HTTPS. Form submissions are transmitted over TLS and stored in access-controlled business email. Passwords and credentials used to run the site are stored in an encrypted vault.
Changes
We may update this policy to reflect changes in our operations or the law. The “last updated” date at the top of this page will change when we do.
